Dear Parents/Guardians & Staff:
The PTA at P.S. 38 is currently looking for individuals willing to serve as leaders on the Executive Board for the upcoming 2018-2019 school year.
A nomination meeting will be held on Thursday, April 26, 2018 at 8:30 AM in the P.S. 38 cafeteria. Nominations will be taken from the floor for each available office. The mandatory officer positions that will be included in the upcoming Spring Elections are: Co-President #1, Co-President #2, Recording Secretary, and Treasurer. The non-mandatory officer positions to be filled are Vice President and Media Secretary. (See descriptions of each position on reverse.)
As a matter of clarification, if someone is interested in running for the office of President, he/she may run as an individual. However, if someone chooses to run for the office of Co-President, he/she may do so with another individual of his/her choice on a single ticket, as Co-President #1 and Co-President #2.
The term of office shall be from July 1, 2018 through June 30, 2019.
Before the nomination meeting, if you want to nominate yourself or someone else, write a brief letter of intent or recommendation and submit it by email to the Nominations Committee: email@example.com, firstname.lastname@example.org, email@example.com, firstname.lastname@example.org, or email@example.com. You can also submit letters of intent or recommendation in person to Faris Almontaser, Christine Bateup, Kelly Brandi, Kyle Carney, or Adam Spielberg.
The DEADLINE to submit nominations is on Thursday, April 26, 2018 at the nomination meeting. No additional candidates will be added to the ballot after this date; and none may be added the evening of the Spring Elections.
All parents, legally appointed guardians, or persons in parental relation to a child currently attending P.S. 38 are eligible to hold PTA office, unless they are employees of the school.
Spring Elections will be held on Tuesday May 15, 2018 in the P.S. 38 auditorium. Doors open at 4:45 PM.
In order to vote in this election, you must be a parent, legally appointed guardian, or person in parental relation to a child currently attending P.S. 38 or be a staff member of the PTA.

P.S. 38 Nominations Committee
President/Co-President: The President, or at least one of the two Co-Presidents, shall preside at all meetings of the association and shall be an ex-officio member of all committees except the nominating committee. A president or co-president shall appoint chairpersons of association committees with the approval of the executive board. The president or co-presidents shall delegate responsibilities to other association members and shall encourage meaningful participation in all parent and school activities. In the event that the association elects co-presidents, the remaining executive board members, in consultation with the association, will determine which co-president will serve as the core member on the School Leadership Team and which co-president will serve as the school’s representative to the Region/District President’s Council; the president or one of the co-presidents shall attend all regular meetings of the presidents’ council and, in the event of co-presidents, the president or other co-president shall be a mandatory member of the School Leadership Team. The president or co-presidents shall meet regularly with the executive board members in accordance with these bylaws to plan the agendas for the general membership meetings. The president or co-presidents shall both be the/one of the eligible signatories on checks. The president or co-presidents shall assist with the June transfer of association records to the incoming executive board.
Vice-President: The Vice-President shall assist the co-presidents and shall assume the co-presidents’ duties in his/her or their absence, or at the co-presidents’ request. The vice-president shall oversee the association’s Fundraising sub-committees. The vice-president shall assist with the June transfer of PTA records to the incoming executive board.
Recording Secretary: The Recording Secretary shall record minutes at all association meetings. The recording secretary’s responsibilities shall include the preparation of notices, agendas and sign-in sheets. The recording secretary shall prepare and read the minutes of each association meeting and shall distribute copies of the minutes at the next scheduled meeting for review and approval by the general membership. The recording secretary shall maintain custody of the association’s records on school premises. The recording secretary shall incorporate all amendments into the bylaws and shall ensure that signed copies of the bylaws with the latest amendments are on file in the principal’s office. The recording secretary shall be responsible for reviewing, maintaining and responding to all correspondence addressed to the association. The recording secretary shall assist with the June transfer of all association records to the incoming executive board.
Media Secretary: The Media Secretary shall be responsible for distribution of all notices and materials to the association via paper and/or electronically. The media secretary shall oversee the association’s Communication sub-committees. The media secretary shall assist with the June transfer of association records to the incoming executive board.
Treasurer: The Treasurer shall be responsible for all financial affairs and funds of the association. The treasurer shall also be responsible for maintaining an updated record of all income and expenditures on school premises and shall be one of the signatories on checks. The treasurer shall adhere to and implement all financial procedures established by the association. The treasurer shall prepare and present a written report of all transactions at every executive board and general membership meeting. This report must include income, refunds, reimbursements and other expenditures, and opening and closing balances for the reporting period. The treasurer shall also prepare the association’s interim and annual financial reports. The treasurer shall make available all books and financial records for viewing by members upon request and for audit. The treasurer shall assist with the June transfer of all association records to the incoming executive board.
